Email-Based Approval (Leaves & Attendance Workflows)

With the new Email-Based Approval feature, approvers can now act on leave and attendance workflow-related requests (Leave Apply, Cancel, RH, Grant, Encashment and Permission & Regularization, Overtime) directly from their email—no need to open greytHR or stay logged in!

greytHR Recruit - Deletion of Jobs and Candidates

With the permanent deletion enhancement, recruiters and HR admins can now delete job and candidate records directly from the job listing and candidate pool pages. This powerful capability streamlines data management, reduces clutter, and ensures your database remains clean and relevant with just a few clicks.

Key Highlights

  • Delete up to 10 jobs at once from the Job Listing page and 50 candidates at once from the Candidate Pool page.
  • Removes all associated data: profile, resume, interview history, and offer details. No trace of the candidate will remain in the system.
  • Candidates associated only with the deleted job will become untagged those tagged to multiple jobs will retain their association with the remaining jobs.

Statutory Compliance Updates – Karnataka & Tripura

To ensure alignment with the latest statutory requirements and prevent non-compliance risks, we’ve made the following important updates which will be effective from May 2025.

Bank Transfer Files can now be Shared with Other Admin Users

Payroll admins can now enable visibility of bank transfer files to all admins during creation. Enabling the “Make this Public - all other admin users will be able to view and download this file” checkbox in the Bank Transfer page allows all admins to view and download the file, while only the creator retains the right to delete it.

Loan Perquisite Rate is now Editable by Admins

Admins can now directly edit the Loan Perquisite Rate for running loans in the admin module, without needing support tickets. This change eliminates delays—especially around the financial year start—and empowers Admins to manage loans efficiently. It can be found in Payroll → Payroll Inputs → Loan.

greytHR PRO – IT Declaration Overview Dashboard

The IT Declaration Overview Dashboard simplifies tracking by providing PSP employees with a consolidated view of IT declaration statuses for all employees across multiple accounts.

Google Map Link for Swipe Location on Swipe Details in Mobile App

Employees and managers can now view google maps link in the attendance swipes screen for flawless attendance tracking of remote staff.

Refreshed UI for YTD Reports in the Mobile App

Now view your YTD reports in a refreshed UI providing a balanced and unified user experience.

Retaining the Resigned Employee

To support greater flexibility in workforce management the system provides admins with the ability to retain an employee even after their resignation has been approved. This feature is particularly useful in cases where the employee decides to withdraw their resignation, or the organization chooses to retain the employee due to operational needs or reconsideration.

Once a resignation is approved, but before the final clearance process has been completed, admins can intervene and reverse or withdraw the resignation decision in the system. By enabling this action, the organization can effectively accommodate last-minute changes and reduce administrative overhead associated with re-hiring or reactivating resigned employees.

Revoke option is made available for action in the Offboarding and Workflow sections.

Reviews Library is Now Live!

In addition to Goals and 360° Feedback, the PMS Library now supports Reviews, bringing even more structure and scalability to performance cycles. Admins can create categories, bulk upload questions, and reuse or tweak templates effortlessly, making review setup faster, smarter, and more consistent than ever.

✅ Other Features

1. Introduce Maximum Percentage of Encashment Rule

Set encashment limits as fixed days or a percentage of balance with round-off options for fractions. This UI-driven setup ensures compliance, real-time checks, and minimizes manual work or custom rules.

2. Indonesia Payroll Enhancements

We’ve improved employee info, company settings, and statutory compliance fields to align with Indonesian market requirements. These refinements help us deliver a more compliant and seamless payroll experience for our customers in Indonesia and strengthens our journey toward a global payroll solution.

3. Restrict Employer NPS declarations while submitting IT declarations and PF perquisite display corrections.

We are now restricting Employer NPS declarations while submitting IT declarations(It should be configured in Payroll repository only). We’ve also corrected the exemption limits for Employer NPS under Section 80CCD(2).

  • NPS exemption now capped at 10% & 14% of Annual Basic in Old & New Regime respectively.
  • Excess amount over ₹7.5L (Employer NPS + Employer PF + Employer contribution to Superannuation) will be added back as perquisite automatically.
  • Effective from: May 2025
  • No impact on income tax calculation for employees[This was just a display issue which has been corrected now].

4. UID Number Field in Visa Screen

To ensure compliance with regional immigration regulations and maintain accurate records for employees working in the Middle East (ME) region, the system allows adminis to capture and store the Unique Identification (UID) number of each employee. The UID number, which is typically issued by the immigration authorities or government agencies of ME countries (such as the UAE, Saudi Arabia, etc.), serves as a key identifier for tracking an individual’s visa status, residency, and employment eligibility.

5. Add Registration and Insurance Details to QB Reports.

The addition of insurance details and registration fields to the Query Builder provides HR and compliance teams with a more complete and accurate view of employee records.

With insurance data now accessible, teams can easily track benefits, streamline audits, and improve reporting. Similarly, registration fields (e.g., Issuing Authority, Registration Number, Valid till) enable the generation of legally compliant reports, enhance document validity tracking, and improve regulatory readiness across jurisdictions.

6. Reject Option for Admin in EOB Verify

The introduction of Reject option in the Employee Onboarding (EOB) verification process allows administrators to reject the entire onboarding submission when major discrepancies or missing information are identified. This ensures that all sections are reviewed and corrected before final approval, enabling faster issue resolution, maintaining data integrity, and ensuring a more compliant and accurate onboarding process.

7. New Hires Auto-Enrolled into Reviews and 360°s — no setup missed

New employees who meet a filter criteria are now auto-enrolled into active Reviews and 360° Feedback cycles — no manual steps needed. This ensures every relevant hire is always part of your ongoing evaluation process.

8. Remove Existing Due Dates From Goals and Milestones when they no Longer Apply.

Users can now clear or remove the ‘Due Date’ for goals and milestones in the Goal Plan, giving teams more flexibility to adapt timelines as plans evolve.

9. Managers can now Edit Goals Directly Before Approving them.

Managers can now make edits to goals before approving them, streamlining the review process and reducing back-and-forth with employees.

10. Use Ready-Made Goals by Department or Role, then Tailor and Assign with Ease.

Admins now have access to a default library of department- and role-specific goals that can be cloned, customised, and mapped to employee groups — promoting consistency and saving setup time.

11. Goal Uploads now Limited to the Right People, by Design.

Goal uploads are now restricted to authorized employees, based on admin-defined shortlists and managerial hierarchy — preventing unauthorized or misaligned goal assignments.

Admins can enable auto-approval for leave requests applied by managers or admins on behalf of employees. This optional setting speeds up processing, cuts down workflow steps, and maintains full audit transparency.

Option to Reject Employee Swipes Across All Capture Methods

Admins and managers can now reject swipes from all capture methods—Geo-Fencing, Biometric, Kiosk, and more—directly on the Swipes page. Configurable rules, audit logs, and tooltip statuses ensure accurate attendance and stronger compliance.

Configurable Permission Notifications via Event Notification

HR Admins can now tailor permission-related email alerts via the Event Notification module—adding CEOs, customizing CCs, and applying filters. This gives sharper control and visibility over actions like Apply, Approve, and Reject, without changing system defaults.

Configurable Attendance Count in Shift Summary Report

HR Admins can now control how employee attendance is counted in the Shift Summary Report by choosing specific attendance statuses (like ‘Present’) via a new dropdown in Report Settings. This ensures accurate shift occupancy reporting by excluding statuses like LOP, Leave, or Holiday when needed.

Overstay

The Flexi Shift/Overstay module allows admins to configure flexible shift timings and overstay rules. It dynamically maps swipe data to the appropriate workday and adjusts attendance based on gaps and overstay logic. Managers gain real-time visibility into attendance patterns for better decision-making. The system ensures accurate payroll processing and supports diverse scheduling needs across industries.

Expense Module in Mobile App

Introducing mobile access for the Expense Module—now submit and review expenses conveniently on the go, just like other features in the app!

View and Download IT Statements from Mobile App

Employees will be able to easily view and download IT statements directly from their phones. The new experience will offer better visibility into salary details and deductions - empowering employees to stay informed and manage their financial records effortlessly, on the go!

Display Bubble Indicator on Mobile App Homepage for Marketplace

Increased visibility and activation of third-party Unite apps such as ClearTax directly from mobile. This supports both discovery and activation of Unite apps on the mobile platform.

Attachment Option in Permission Requests from Mobile

Employees can now upload supporting documents directly in the greytHR mobile app when submitting permission requests, enabling faster and more informed approvals.

greytHR Mobile - Employee Status Indicator

Managers can now easily identify resigned employees in the employee list through a clear ‘Resigned’ status indicator, providing a quick visual cue to distinguish between active and resigned staff.

Outage Banner on Mobile App

The greytHR mobile app now offers outage banner to inform users about unexpected downtimes. By keeping users informed, the app enhances transparency and minimizes unexpected inconveniences.

Employee PII Data Masking for Compliance (DPDPA)

To comply with the Digital Personal Data Protection Act (DPDPA), sensitive employee data on the “View My Info” page is masked by default. Only authorized admins or staff can unmask it when needed, ensuring personal information remains protected and access is controlled.

Revamp of Letter Generation

The letter generation module has been revamped to improve usability, formatting consistency, and customization options. This enables HR and admins to create professional, template-driven documents more efficiently, with better support for dynamic fields and branding.
