greytHR PRO

Pay Policy and Payroll Scheduler:
PSP admins can now customize Pay Policies for individual clients, specifying pay frequency, off days, and salary disbursement days. Additionally, admins can schedule payroll calendars for each client, defining milestones for each pay cycle along with their respective due dates. Using details from the Pay Policy, some information will be filled in automatically when scheduling the payroll calendar, making the admin’s task easier and time-saving.

Workcenter:
In the Workcentre, users of greytHR PRO can monitor and manage all client-specific milestones and deadlines efficiently that they had set using Payroll Scheduler. This feature empowers users by providing clear visibility into tasks and timelines, facilitating effective planning and smooth execution without unnecessary complications.

Attrition Report

We are excited to introduce a new feature in greytHR that empowers HR administrators to generate detailed attrition reports with ease. This tool allows you to track and analyze employee turnover across various dimensions such as department, location, and reason for leaving for any selected time period. By providing a comprehensive overview of employee turnover, including both voluntary and involuntary departures, these reports enable you to identify trends and make informed decisions. With this insight, you can develop targeted strategies to address specific issues and enhance employee retention, ultimately supporting organizational growth and stability.

Consider FBP Declaration (Unconsidered FBP plan) in IT Declarations to Display Accurate Income Tax

With this feature, employees can now simulate accurate tax calculation by comparing both regimes before submitting their IT declarations. We can now seamlessly verify the effect of Flexi benefit plan in IT declarations instantaneously.

CPF EZPay (CPF Payment File) for Singapore

CPF EZPay is a digital file that helps you easily submit your CPF contributions. It’s suitable for all employers regardless of the number of employees. Now the users can enjoy convenience and time savings with CPF EZPay.

Form X - Minimum Wages (Tamilnadu)

Form X is a statutory report for Tamilnadu state which has to be maintained by employers under Shops and establishment act.

Manager Apply OT on Behalf

Managers are empowered to apply for overtime on behalf of their team members. This capability streamlines the process, allowing managers to efficiently manage overtime requests for their teams.

Letter Acknowledgement

We’ve enhanced our letter communication system with the new Letter Acknowledgment Feature. Previously, employees could accept or reject letters, which didn’t suit situations like warning letters where rejection isn’t appropriate. Now, with the “Accept Only” and “Acknowledge” options, you can ensure proper responses. The “Accept Only” option is for formal consents, while “Acknowledge” is perfect for confirming receipt without implying agreement. This update streamlines communication, ensuring responses are suitable and context-appropriate.

Other Features

1. Enhancements to the Confirmation Workflow

New options in the Confirmation Workflow now include assigning employees as reviewers, adding tasks for reviewers, setting limits on probation extensions for clarity, and involving up to five levels of reviewers for comprehensive insights.

2. Displaying Employee Count when Emailing Payslips to Employees

Currently, when sending payslips to employees we are not showing the count of employees in the confirmation popup which is creating confusion for admin, and sometimes payslips are being shared with employees by mistake due to count mismatch. We are now displaying the count to avoid such mistakes.

3. Maharashtra LWF Changes Effective from April 2024

Maharashtra LWF changes are as follows:

  • Employee contribution has been revised from 12 to 25.
  • Employer contribution has been revised from 36 to 75.

4. Rank Updation to Bulletin Board

With this enhancement, the widget on mobile will be enhanced to display the recent and important bulletins first which will enhance the user experience.

5. Enhancement to User Roles Importer

Enhanced the user roles importer with distinct columns for read and write access, enhancing control and precision over managing the permissions.

6. IFSC List Update for Indian Customers

Latest banks are available right away for onboarding new employees.

7. Letter Template Upload Code Optimization

Previously troubled by delays and occasional timeouts(504), the system now operates with remarkable efficiency. The preview time has been greatly reduced from almost a minute to a mere 3 seconds, marking a monumental improvement in performance.

8. Admin Ability to Add Login ID via Employee Profile

Admins can now easily add or change employee login IDs directly in the employee profile, ensuring all login IDs are accurately reflected and editable without relying solely on the Excel importer.

9. Filter Assets Based on Status in ESS

Employees can now filter their assets based on status directly from the “View My Info” > “Assets” section. A new dropdown menu labeled “Asset Status” has been added, allowing users to select from all the statuses available. By default, the “Received” status will be selected, ensuring a streamlined and user-friendly experience. This update simplifies tracking and managing your assets, making it easier to stay organized and informed.

10. Addition of DOB & Gender in Onboarding

Allowing employees to correct DOB and gender ensures personal information accuracy, reducing errors caused by incorrect admin entries during onboarding.

11. Addition of TIN Identification for Employees

Adding and managing TINs will enhance the accuracy and completeness of employee records, ensuring compliance with legal and regulatory requirements in MEA Region. Admin users will benefit from a streamlined process for verifying and updating TIN information, leading to more efficient administrative operations and reduced risk of non-compliance.

12. Payroll JV Export to SFTP server

Currently, the JV files are downloaded and manually shared with the accounts team for their reference. To streamline this process, we have introduced a feature allowing JV files to be uploaded to an SFTP server.

In other words, these files can be securely dropped in a location that will be accessible to intended users only.

13. Form 16 API

We can now send Form 16 by accepting the required parameters (“Employee number” and “Year”). Users can receive the response either directly as a PDF or as a byte stream for any employee for a specific year.

14. WhatsApp Based Login for International Employees in greytHR Mobile App

Unlocking access for our global team is now simpler than ever! Login hassle-free with the OTP sent directly to your WhatsApp number. Enjoy the ease and convenience of seamless authentication.

Unveiling a Whole New Look and Feel: Enhanced Mobile App Experience with Illustrations & Motion

Verify PAN and Aadhar Link Status

As per Income tax department, all individual’s PAN and Aadhar must be linked. Failing to do so will have below repercussions.

Taxpayers cannot file ITR or claim refunds with inoperative PAN cards.

The pending returns will not be processed, and pending refunds will not be issued to inoperative PAN cards.

The TCS/TDS will be applicable at a higher rate.

The TCS/TDS credit will not appear in Form 26AS, and TCS/TDS certificates will not be available.

Taxpayers will be unable to submit 15G/15H declarations for nil TDS.

To address this, we will capture PAN inoperative status in the PAN status page from Payroll and Admin. Employee’s whose PAN is marked inoperative will attract TDS at the higher than applicable rate.

greytHR PRO - Invoices

The Invoices module on greytHR PRO provides PSP admins with complete visibility into purchased greytHR modules, headcount, and billed amounts related to them. It also offers detailed payment history, facilitating easy tracking and invoice downloads. This enhances transparency and financial management for PSPs.

Notifications for Engage

Users will now receive email notifications for any actions related to Kudos, Polls, and Feedback. This new feature ensures that everyone stays informed and engaged, promptly receiving updates and acknowledgments that are crucial for maintaining effective communication and fostering a positive workplace environment. Whether you’re being recognized, participating in a poll, or receiving feedback, you’ll never miss an important update.

Auto OT / Comp-off

This feature automates the Overtime (OT) and Comp-Off processes by automatically granting requests based on predefined policies. It streamlines calculations, approvals, and notifications, thereby enhancing efficiency and accuracy for both employees and managers.

Engineering Team Updates

  • Assets and media in various modules of mobile app have been updated to better suited, low size and higher quality ones. This would help in reducing the overall bundle size.

  • Code obfuscation using ProGuard, minification through bundle shrinkage has been introduced for android platform in mobile app resulting in bundle size reduction by 10%

Product Content Updates

  • Our updated help resources significantly boost operational efficiency and productivity. The KB pages links to relevant Reports FAQs for better support. New resources for overtime application and attrition reports enable effective utilization, driving informed decision-making. Additionally, use case KB pages for letters and event workflows enhance communication and ensure consistency in organizational processes.

  • We’re making our existing Knowledge Base (KB) articles easier to use by adding real-life examples! These examples, called “use cases,” show exactly how to navigate the application to achieve specific tasks. Think of them like step-by-step guides that walk you through using features like Event Workflows and Letter Management. By including these use cases, we’re making it easier for our customers to understand and get the most out of the application.

  • The FAQ section now includes 80 new entries covering the newest greytHR features and popular customer queries related to Payroll and Leave/Attendance.

  • Promotion of FBP and IT declaration resources through Beamer and mailers has significantly increased KB views by 79% and 61%, respectively, with FAQs seeing a 71% and 48% increase.

  • Launched 5 product pillar videos which will significantly enhance our brand visibility by providing in-depth insights into our core features. These videos increase customer understanding and trust, serve as powerful marketing tools, and boost customer engagement, solidifying our brand presence in the market.

  • Internally promoting our 5 product pillar videos within cross-functional teams has led to a significant increase in viewership, soaring to 117K+ views on YouTube in Q1.
