Confirmation Letter

Need help. Do we need to provide Confirmation letter to employees whose probation period is completed? Is it mandatory?

Hi,

We need to provide confirmation letters once an employee completes his/her probation period after taking feedback from the RM/HOD of that employee.

In my opinion, no need to issue this letter. But it is the organization’s decision if they want to issue and mention that the training period was not completed.

Hi Kajali,

It will be a safe and quality practice documenting an employee’s confirmation after the completion of the probation period.

Firstly, it helps the employer to draw the next level of rights, duties, obligations of both employee and employer upon such confirmation. If the probation period extends for certain reasons, the employer can communicate it clearly so that it helps the employee to understand the setbacks, and get them fixed.

Secondly, it helps the employee to gain confidence about such employment.

Naturally, none would like to work speculating whether their employment is confirmed or not.

Moreover, placing the confirmation, or probation extension on records clearly with the required facts and findings, terms of further employment always helps both parties abide by such agreed terms; also a written, and signed record is a piece of good evidence.
