The industry practice is to have a clause regarding the extension of probationary period in the appointment letter. It is a recommended practice as well to prevent any future disputes.
Option 1: Structured approach - In case you have not included any clauses regarding probationary period , and subject to your clauses regarding employment confirmation specified in the in the appointment letter you may issue an Addendum to the Appointment Letter including clauses relating to Probation and its extension and subsequently issue the Letter of Extension stating reasons.
Note: If you have missed out any important terms in your appointment letter, you can subsequently sign an addendum to include those terms; if you want to modify any terms, you can sign an amendment of those terms.
Option 2: Due to paucity of time - You may directly issue a letter of probation extension stating your reasons for extending it.
Ideally, you have to mention justifiable reasons validating the extension.
