Here’s what we’ve been working on…

Automation of Overtime (OT) / Comp Off

Manually handling OT requests is time-consuming, error-prone, and adds to the administrative burden. Our new Auto Grant OT/ Comp Off feature automates OT or Comp off, based on the organization’s policy and their employees’ work hours, saving time and reducing errors. The admins and managers can still review and adjust as needed.

Attendance Export Option

No more copy pasting data. We identified the need for easier access to attendance data, such as work hours, overtime, and permissions for offline use, analysis, or sharing. We’ve added an export feature for downloading the Attendance Info report in Excel or PDF. Enabled by default for Admin/Majordomo roles, and configurable for managers and employees, it allows easy access, analysis, and sharing of attendance data.

Budget Changes FY 24-25

Below is the list of budget changes FY 24-25 (watch video) that will be available for all customers once they create the August 2024 payroll month.

The tax slabs under the new regime have been changed as follows. 💰

  • Up to INR 3 lakh: Nil
  • Above INR 3 lakh to INR 7 lakh: 5%
  • Above INR 7 lakh to INR 10 lakh: 10%
  • Above INR 10 lakh to INR 12 lakh: 15%
  • Above INR 12 lakh to INR 15 lakh: 20%
  • Above INR 15 lakh: 30%

Standard Deduction: Increase in the Standard Deduction from INR 50,000 to INR 75,000 for employees opting for the New Tax Regime.

Employer NPS Exemption: For New Tax Regime, the deduction for contributions to the New Pension Scheme (NPS) has been revised to 14% of the employee’s salary. For old tax regime, it will remain 10% only.

Budget changes are enabled by default for all customers, effective from the August 2024 payroll. They will have the option to defer the budget changes to take effect from the September 2024 payroll.

Ready to Generate Statutory Reports

  • Form W – Register of Wages (Tamil Nadu)
  • Register of Wages, Overtime, Deduction for Fine, Damage & Loss, and Advances Form 2 (Gujarat)
  • Attendance Register / Muster Roll Form 1 (Gujarat)

The above mentioned reports will enhance our coverage of statutory requirements in the targeted region. Currently, users must manually prepare them or rely on external sources. The introduction of ready-to-generate reports, will save significant time and effort, streamlining the monthly report creation process.

Introducing Prefilled TDS Payment File

To address the challenges faced by finance teams in preparing and paying monthly TDS payments for large client bases, we implemented a key solution that streamlines the process. Traditionally, preparing and paying the TDS challan manually was time-consuming and prone to errors, leading to delays and penalties in some cases. For instance, an error in the payment template once resulted in an incorrect TDS payment, causing the company to incur penalties despite efforts to rectify it.

We introduced a custom report, Monthly TDS Challan Report – TDS Bank Payment File, to address this issue. Users can now download a prefilled template from the greytHR platform, automatically populated with accurate data, ready for direct upload to the bank portal, ensuring easy and error-free TDS payments. The supported banks include ICICI Bank, HSBC Bank, Kotak Mahindra Bank, Citi Bank, DBS Bank, BNP Bank, and Mizuho Bank.

New Application Integrated to Unite Marketplace

HappyLocate application is now integrated and live on the Unite Marketplace!
HappyLocate, a comprehensive relocation platform for admins and employees, offers a seamless experience for everything from household moves to IT asset delivery.

Corporate services include employee relocations, such as pan-India household moves; asset delivery, which involves IT asset relocation services; and logistics for city-to-city or within-city moves.

Preview of Documents

Accessing documents used to be cumbersome, requiring downloads each time, which was time-consuming and cluttered devices. Our new document preview feature simplifies this. View PDFs directly within the platform without downloading. Enjoy faster access, a cleaner workspace, and no more waiting to see file contents. It’s a small change that makes a big impact on the daily tasks!

Restrict Download of Documents & Policies

Previously, employees with ESS portal access could download documents without any restriction whenever an admin released them, posing a risk of unauthorized sharing and mishandling of sensitive information. To address this, we’ve introduced feature codes that control document downloads, ensuring access is restricted unless explicitly enabled by the admin. This upgrade enhances data security, minimizes the risk of breaches, and streamlines document access processes, offering better control and protection of sensitive data.

Goals & Reviews Integration

Previously, reviews were restricted to performance categories with ratings only for those areas. Now, with goal plans integrated into reviews, a new “Goals” category allows admins to rate performance goals alongside other categories. This means the final score will reflect both goal achievements and performance, offering a balanced evaluation.

Form 1721 A1-Indonesia Payroll

Form 1721 A1 in Indonesia is a crucial document summarizing an employee’s annual income and the taxes withheld by the employer. It serves as the basis for calculating personal income tax (PPh 21).

It is essential for employees to accurately file their annual tax returns, and employers are legally required to issue this form to ensure compliance with tax regulations.

Other Features

1. Multi-Company Logo Reflection: Earlier, only the parent company’s logo was visible on the portal while signing in, which could be confusing in a multi-company setup. Now, the multi-company logo feature displays the correct logo for each specific company on all screens, reports, and logins, enhancing personalization and relevance for a better user experience.

2. Retroactive Review Cycle: Previously, reviews could only be conducted for the current performance period, limiting flexibility in managing past evaluations. Now, with the retroactive review feature, admins can conduct reviews for past periods, like reviewing the JAS quarter in October. This enhancement allows admins to catch up on feedback, ensure thorough evaluations, and maintain a complete performance record, even for past periods!

3. How is it Calculated ? Section for Summary Table: Previously, users could see the summary table in their performance documents but might be confused on how the calculations were made, leading to confusion and uncertainty. Now, we’ve added a dedicated section that explains how these calculations are done with examples. This new feature helps users understand their performance summaries better, making the process transparent and easy to follow!

4. Update Assessors for Review Cycle: Earlier, if a reviewer was unavailable or missing, assessments would be halted, causing delays. Now, with the new feature to update assessors via the org chart and control panel, admins can easily update reviewers with a click. This ensures assessments proceed smoothly, even with manager changes, providing a hassle-free review process without interruptions.

The Multiple Attendance Cycle feature lets organizations set different attendance periods for various employee groups based on their work schedules or locations. This flexibility ensures accurate attendance tracking and management for diverse operational needs.

Downloadable Employee List in Client-wise Invoices on greytHR PRO

With this upcoming feature, greytHR PRO admins will be able to view and download the list of employees associated with a line item and headcount in monthly client-wise invoices. This will help them verify the accuracy of the billing information.

Unite BGV-Deeper Integration with greytHR HR Admin Portal

This feature allows Unite BGV applications to integrate directly into the greytHR admin portal. It ensures that BGV status updates and employee documents flow seamlessly between the systems, eliminating the need for admins to maintain records manually.

Resignation Management Module in Mobile

This module offers a comprehensive solution for employees and managers to handle resignation processes efficiently and transparently, reducing the time and effort required in traditional procedures.

Attendance Info in Mobile

Employees and managers lack a centralized interface for managing detailed attendance, leading to inefficiencies. This solution offers a streamlined interface for reviewing attendance, managing exceptions, and ensuring accurate records, boosting productivity and workforce management.

Recommendations

Before, our review process didn’t allow assessors to make formal recommendations, like salary changes or development programs. Now, assessors can suggest salary adjustments, organizational changes, and recommend Performance Improvement or Development Programs. Admins can review and finalize these recommendations, making the review process more actionable and directly linking performance to meaningful outcomes.

QB Reports for Performance Periods & Goal Plans

Currently, detailed reports for performance periods and goal plans are limited. Going forward, admins can select specific columns and generate tailored reports with employee-level data, offering deeper insights, more control, and a clearer view of performance metrics for easier data-driven decisions.

Docker Image Repository Migration to GAR: We have migrated all Docker images from DockerHub and Google Container Registry (GCR) to Google Artifact Registry (GAR). Database Upgrades in Scorpion Cluster: We’ve upgraded seven databases in the Scorpion cluster to PostgreSQL version 15. Performance Benchmarking for Key Services: We have extensively benchmarked our services for high concurrency. Our attendance marking service and payslip download service from our S3 bucket have both been tested for 50,000 concurrent users, confirming our infrastructure’s robustness and ensuring a smooth user experience during peak times.
