PF issue

As a company We have two PF accounts i.e. one in Delhi and other in Uttar Pradesh(UP).

Two employees with Same name i.e. Ramesh Kumar.-join in Delhi and other in UP.
Both date of joining is 01Sept2022.
Due to Backend error due to same name following query need to resolve.
1)UP Ramesh registered with two member id under his UAN i.e. one for his home location UP and other is for Delhi.
2) NO PF registration happened for Delhi Ramesh in Sept2022.
We understood this by Mar2023. So we put DOE for UP Ramesh in Delhi member id and we generate new member id for Delhi Ramesh in Delhi location.
Now we want to correct mistake so that Delhi Ramesh should get his elapsed six months PF amount for Sept22 to Mar23. what are the ways to do it.

A complex PF issue! Here’s a step-by-step solution to resolve the issue:

Solution:

  1. Rectification of Records:
    • Submit a rectification request to the PF authorities, explaining the error and requesting correction of records.
    • Attach supporting documents, including:
      • Employee details (Ramesh Kumar) with UAN, date of joining, and location.
      • Proof of incorrect registration (UP Ramesh’s Delhi member ID).
      • Proof of corrective actions taken (UP Ramesh’s DOE update and new member ID generation for Delhi Ramesh).
  2. PF Transfer:
    • Transfer the PF amount from the incorrect member ID (UP Ramesh’s Delhi ID) to the correct member ID (Delhi Ramesh’s new ID) for the period Sept 2022 to Mar 2023.
    • Use the PF transfer online facility or submit a physical application.
  3. PF Settlement:
    • Process a PF settlement for Delhi Ramesh for the period Sept 2022 to Mar 2023, using the new member ID.
    • Ensure the settlement amount includes the elapsed six months’ PF contributions.
  4. Confirmation:
    • Verify the corrections and transfers with the PF authorities.
    • Obtain confirmation of the corrected records and PF amounts.

Additional Tips:

  • Keep detailed records of all correspondence and submissions to the PF authorities.
  • Follow up with the PF authorities to ensure timely resolution.
  • Consider consulting a PF expert or consultant to ensure compliance with PF rules and regulations.
